MS Outlook Question

I just got done installing Win XP Pro on a new 160GB hard drive that I plan on using as my main OS. How do I go about getting all the e-mails out of Outlook in Win 2K and get them in to the Outlook of Win XP?

Also what about the favorites for IE?

I believe that outlook will save your files as *.ost and *.pst files. Or you could just copy all of the e-mails to a CDR/W and copy them over to your new set up. If you cannot find these files, you may have to create them. Post if you need help, and I'll post tomorrow and tell you how to do it - just let me know what ver of Outlook you're using.

With your favorites, I believe that the quickest way would just use the same CDR, and copy them over. Go to C:\WINDOWS\Favorites and then just select all, and copy to your CDR

Personally I use www.mybookmarks.com to save and reload my bookmarked favorites. Free account, and it is REALLY simple. Before I do a reinstall or something where my favs will be lost, I upload them...do the reinstall....and then import them back. Check it out...very slick.

I am using Outlook 2002 or whatever version is included with Office XP.

I think I did this once before, but it lost the date and time stamp from the emails when I imported them. Is there anyway to keep this info? What about the rules that I already have set up?

If you copy the *.pst over it should keep all of your old e-mails (including the time/date stamp). However, I do not believe it will do any rules that you have setup.

On your old PC, do a search for *.pst and copy it (CDR/W). Then go to your new, and copy the *.pst file to a folder. Put it any where you want, just remember where it is. Once you have done that, right click on the file, and make sure that "READ ONLY is uncheked, then open Outlook. In Outlook, you will have to do:


Tools
Options
Mail setup Tab
Click on Data files
Click on Add
And then point to where the file is.
Highlight the file and hit ok.

This should bring back all of your old e-mails.

Okay Milo,

I did a search on my harddrives and found one .pst file but that one was last modified in December of 2001 on my Win 98 harddrive. There wasn't a .pst file found on my Win 2k harddrive.

Do I have to go into Outlook to create the .pst file?

You shouldn't have to create one - at least that is my understanding. Since you're not hooked up to a e-mail server (like say a work PC) it should update it for you. I don't have outlook at home, so I can't do step by step info at home - sorry. However, I ask tomorrow at work.

What drive is outlook installed on? I'm guessing you have a dual boot PC with 2k/98? If so, are you sure that its not going to the old outlook?

Actually I have a tri-boot system. 20GB c drive with win98, 10GB d drive with win2k, and 149GB f drive with win XP. I want to import all the stuff from the win2k drive into the win XP drive and remove the 10GB drive from the system.

I will try and do an export and import and see what happens.

PST is the personal folder file. It holds stuff like your address book and so on. So that will not move your mail or anything. I think what you want to do is...In outlook go to File - import and export. Then select export to file, then probably Excel. Choose the folder you exported and give the Excel file a name. Then in your new outlook do the same thing except import. Let me know if that works. I have never actually did it, so I could be off.

Travis - GMOL Helpdesk....some people might know what that means.

I have totally got it to work yet because I haven't had time to finish it. I did do an archive from the 2k outlook and it did create a .pst file that was 78MB, which is WAY too big for just my address book so I think that will have all the messages in it also. I will find out tomorrow when I get a chance to work on it again. I know that if I can open the archive file, I can copy the messages into their respective folder by hand if I have to.

I did do an export to excel just to see what that would do, and it didn't work the way I wanted it to as it didn't keep the date & time stamp on the emails.

Okay, I got it to work.

Here is how you do it:

With your inbox selected goto "File | Import and Export"
Select "Export to a file"
Select "Personal Folder File (.pst)"
Select your inbox and check "include subfolders"

Then go into the new version and follow the opposite directions.

This also works for contacts if you create a folder and copy all your contacts into the folder, you can export and import them the same way.

You can also do this with rules, by doing the following:
[list=1][*]Click Inbox[*]On the Tools menu, click Rules Wizard[*]In the Apply changes to this folder list, click the Inbox you want.[*]Click Options[*]Click Export Rules[*]In the File Name box, type the path and file name for the set of rules you want to export.[*]Change the Save as Type to export to an older version of Outlook.[*]Click Save[/list=1]
